Description

The Fresh Produce Exporters Forum (FPEF) is the industry body representing the fresh produce exporters of South Africa. The FPEF employs a number of initiatives to bring about transformation in the fresh fruit export industry. The FPEF Graduate Placement Program places high caliber graduates in junior commercial, logistics and technical (post-harvest quality management) roles at various South African fruit export companies for one year, potentially leading to long term career opportunities. The aim of this programme is to integrate a growing group of talented black individuals into the commercial heart of the industry. A FPEF member is looking for a graduate placement as Documentation Controller, to join their dynamic team. The successful incumbent will compile and check accuracy of data received from loading points against system correlates. Ensure correct pricing is captured in the system and correct loading details are distributed to the relevant freight forwarders and clients. This position will report to the Logistics ManagerCoordinator.

KEY RESPONSIBILITIES

  1. Documentation processing
    • Open shipping folders on server
    • Print consignment notes and Q67 (includes keeping track of loadings)
    • Send addendums and consignment notes to the company's freight forwarders (dropbox, via email or doc sync)
    • Submit packing list to freight forwarder one day after loading
    • Confirm selling prices with the commercial team, including INCO (international commercial) terms/ payment terms.
    • Submit FOB (free on-board) and CIF (cost, insurance and freight) invoice to freight forwarder (FOB for customs and agreed INCO term of the deal)
    • Send packing list and commercial invoice to client (to discuss different requirements)
    • Send tax invoice to client using correct pricing
    • Check that loading documents are invoiced
    • Follow up on industrial final weight and send final invoices
    • Issue insurance certificates where applicable (send to client and freight forwarder to courier original)
    • File completed shipping folders
    • Follow up on outstanding documentation with freight forwarder
    • Load documents not yet invoiced
    • Follow up and flag outstanding documentation
    • File completed vessel files
    • Weekly, provide clients with Weekly Customer Shipping Report.
    • Resolve documentation queries from customers.
    • Follow up on weekly vessel allocations and vessel service options with Logistics Coordinator to ensure that space required for weekly sales shipments is available.
    • Update and distribute consignee and notify party details to team and freight forwarders
    • Confirm if copy documents are correct and send to clients.
    • Upload copy documents to Planner.

  2. Customer Interaction
    • Respond to and resolve any customer queries regarding documentation
    • Prepare and send invoices and clearing documentation to customers for Russian, Asian and African markets.
    • Track vessels and container arrivals and notify customers of container arrivals and payment due.
    • Check that containers are gated out on time so that demurrages are not incurred.
    • Issue commercial documents for Russian market to customers. This includes pricelist, packing list, invoice, product descriptions, insurance policy and overweight recalculation.
    • Release documents to sensitive customers once approved by Commercial Manager.
  3. Team duties
    • Report open items to the team at the end of each day.

EDUCATION AND EXPERIENCE REQUIRED

  • Matric (Grade 12).
  • Related tertiary qualification (Logistics or Cold Chain qualification is advantageous).
  • Previous experience in a logistics documentation environment is a prerequisite.
