Description

A multinational food processing and agricultural company is looking for a Quality Systems Coordinator.

Job Purpose
To coordinate, maintain and continuously improve the Company's Food Safety Management System (FSMS) in accordance with HACCP, ISO 22000 and FSSC 22000 requirements.
The Quality Systems Coordinator is responsible for ensuring that all food safety documentation, records, procedures and programmes remain compliant with certification, legislative and customer requirements. The role coordinates internal audits, corrective actions, document control, verification activities and management review processes while promoting a culture of food safety and continuous improvement throughout the business.

Key Responsibilities
Food Safety Management System (FSMS)
•Coordinate and maintain the Company's Food Safety Management System (FSMS).
•Ensure compliance with HACCP, ISO 22000 and FSSC 22000 requirements.
•Maintain the Food Safety Manual and all supporting documentation.
•Ensure all documented procedures are reviewed, approved and updated within required review periods.
•Monitor compliance with documented food safety procedures.
•Assist in preparing for certification and surveillance audits.

HACCP System Coordination
•Coordinate the implementation and maintenance of the HACCP Programme.
•Schedule and coordinate HACCP Team meetings.
•Review and update hazard analyses when changes occur.
•Ensure Critical Control Points (CCPs) are monitored and verified.
•Maintain HACCP plans and supporting records.
•Verify corrective actions relating to CCP deviations.
•Ensure validation and verification activities are completed.

ISO 22000 & FSSC 22000 Compliance
•Coordinate implementation of ISO 22000 and FSSC 22000 requirements.
•Maintain compliance with prerequisite programmes (PRPs).
•Monitor food safety objectives and key performance indicators.
•Coordinate annual system reviews.
• Ensure all mandatory FSSC documentation remains current.
• Assist with gap analyses and continuous improvement activities.

Document Control
• Control all Quality Management System documentation.
• Issue controlled copies of procedures, work instructions and forms.
• Maintain document revision histories.
• Ensure obsolete documents are removed from use.
• Maintain the Master Document Register.
• Ensure only current approved documents are available on the production floor.

Internal Audit Programme
• Develop and maintain the internal audit schedule.
• Coordinate internal audits across all departments.
• Participate as an Internal Auditor where required.
• Record audit findings.
• Monitor corrective and preventive actions.
• Verify implementation and effectiveness of corrective actions.
• Report audit trends to management.

Corrective and Preventive Action (CAPA)
• Maintain the CAPA register.
• Coordinate root cause investigations.
• Monitor completion of corrective actions.
• Verify effectiveness of implemented actions.
• Escalate overdue corrective actions.
• Monitor recurring trends and submitting monthly/annual trend reports.

Food Safety Verification
Coordinate and maintain verification activities including:
• CCP Verification
• PRP Verification
• GMP Inspections
• Environmental Monitoring
• Glass & Hard Plastic Inspections
• Foreign Body Control
• Allergen Control Verification
• Calibration Verification
• Cleaning Verification
• Internal Verification Audits

Training Coordination
• Coordinate HACCP, GMP and Food Safety training.
• Maintain competency records.
• Monitor refresher training requirements.
• Maintain food safety induction records.
• Verify training effectiveness.

Non-Conformance Management
• Record internal food safety non-conformances.
• Investigate system failures.
• Assist with root cause analysis.
• Coordinate corrective action implementation.
• Monitor recurring trends and submitting monthly/annual trend reports.

Certification Support
Coordinate activities relating to:
• FSSC 22000 Certification Audits
• ISO 22000 Audits
• Customer Audits
• Regulatory Inspections
• Third-Party Food Safety Audits
Responsibilities include:
• Audit preparation
• Evidence collection
• Closing audit findings
• Maintaining audit records
• Coordinating responses

Continuous Improvement
• Identify opportunities to improve the Food Safety Management System.
• Improve document control processes.
• Assist with system digitalisation.
• Monitor food safety KPIs.
• Recommend improvements based on audit outcomes and trend analysis.

Key Performance Indicators (KPIs)
• HACCP compliance maintained.
• ISO 22000 compliance maintained.
• FSSC 22000 certification maintained.
• Internal audit schedule completed on time.
• Audit findings closed within agreed deadlines.
• Corrective actions completed within target dates.
• Zero major certification non-conformances attributable to system failures.
• Food safety documentation maintained and up to date.
• Document revision schedule achieved.
• Food safety training compliance.

Minimum Requirements
Qualifications
• Diploma or Degree in:
• Food Science
• Food Technology
•  Biotechnology
•  Microbiology
•  Quality Management
•  or related field.

Experience
• Minimum 3 years' experience in a Food Safety or Quality Systems role within the food manufacturing industry.
• Experience maintaining HACCP systems.
• Experience with ISO 22000 implementation.
• Experience in an FSSC 22000 certified environment.
• Internal Auditor qualification is advantageous.
